We've updated our Terms of Service and Privacy Policy so they properly describe the Traxsyd platform as it works today. A few things have changed, so please take a moment to read them. Read the Terms or read the Privacy Policy.

Privacy Policy

Your privacy is important to us. This policy explains how we collect, use, and protect your information when you use Traxsyd.

1. Who we are and what this covers

Traxsyd is an online platform for the motorsports community, operated by Traxsyd LLC ("Traxsyd," "we," "us," or "our"). This Privacy Policy explains what information we collect when you use the Traxsyd website and services, why we collect it, who we share it with, and what choices you have.

This policy covers the Traxsyd website and services. It does not cover what an event promoter does with your information after we pass it to them to run their event — see Section 8 — or what any third-party website you follow a link to does with it.

This policy forms part of our Terms of Service. If you do not agree with it, please do not use the Service.

2. The short version

  • You give us what we need to sell you a ticket, enter you in an event, or run an event you promote.
  • We pass what a promoter needs to the promoter of the event you bought into. They are then responsible for it.
  • Payments go through Square. We never see or store your full card number.
  • We do not sell your personal information for money. We do run advertising and analytics tools that some state laws treat as "sharing" — Section 9 explains that plainly and how to stop it.
  • Every page of our site loads Google Analytics, a Meta advertising pixel, and Microsoft Clarity — which records how you move through pages — along with a bot check and a few content-delivery providers. Section 5 lists all of them.
  • You can ask us for a copy of your information, ask us to fix it, or ask us to delete it, by emailing support@traxsyd.com. Section 14 explains how that works.

3. Information you give us

3.1 Account information

Your name, email address, phone number if you provide one, and a password (which we store only as a cryptographic hash — we cannot read it). We also record the role you sign up under: fan, competitor, promoter, or sponsor.

3.2 Competitor profile information

If you set up a competitor profile you may give us a display name, nickname, hometown, primary discipline, biography, photographs, and details of your vehicles, together with the sponsors you choose to list and a business contact for each of them.

3.3 Promoter and organization information

If you list events, we collect your business or organization details, contact information, event information, and the payout details needed to send you money.

3.4 Orders and payments

When you buy a ticket or an entry we record what you bought, how much you paid, our service fee, any discount code used, your name, email address, and phone number, and the transaction identifiers our payment processor returns. Card payments are processed by Square. Traxsyd does not receive or store your full card number, and card data is handled entirely by Square under its own terms and privacy policy.

3.5 Content you submit

Photographs, video, event listings, results, messages, and anything else you upload or post, together with the credit and caption information attached to it.

3.6 Support and contact

When you contact us through the site or by email we keep your message and our reply so we can help you and keep a record of the issue.

4. Information we collect automatically

When you use the site we record technical and usage information, including your IP address, browser type and version, operating system, device type, the pages you visit and how long you spend on them, the site or link that referred you, and any campaign tags (UTM parameters) in the address you arrived with. We use this to keep the site working, understand what people find useful, and give promoters aggregate reporting about their own events.

If you attend an event, we record when your ticket is scanned at the gate.

5. Analytics and advertising tools on our pages

Every page of our site loads the following third-party tools. Each one sets its own cookies or identifiers and receives information about your visit directly from your browser, governed by its own privacy policy:

  • Google Analytics 4 — measures traffic and how people move through the site, including which campaigns brought them.
  • Meta (Facebook) advertising pixel — reports page views to Meta, which can be used to measure and target advertising, including to people who have visited our site.
  • Microsoft Clarity — records how visitors interact with pages, including session replays of mouse movement, scrolling, clicks, and page content, so we can see where the site is confusing or broken.
  • Cloudflare Turnstile — checks that form submissions come from a person rather than a bot.
  • Content delivery networks and web fonts (Cloudflare, jsDelivr, jQuery, Google Fonts) — deliver the code and fonts the site needs. Loading them exposes your IP address to those providers.

If you would rather not be measured by these tools, Section 9 explains your options.

6. Cookies and similar technologies

  • Essential cookies — a session cookie that keeps you logged in as you move between pages, and a `remember_token` cookie if you choose to stay signed in. The site does not work properly without these.
  • Analytics and advertising cookies and identifiers — set by the tools listed in Section 5.

You can block or delete cookies through your browser settings, and most browsers let you refuse third-party cookies specifically. Blocking essential cookies will stop you being able to log in. We do not currently show a cookie consent banner.

7. How we use information

  • To create and maintain your account and keep it secure
  • To process orders, deliver tickets and entries, and provide receipts
  • To pass promoters the information they need to run their events and admit you
  • To display competitor profiles, results, and standings
  • To provide customer support and respond to your messages
  • To send you service messages about your account, your orders, and events you hold a ticket or entry for
  • To send you marketing messages where you have not opted out — see Section 10
  • To understand how the site is used, fix problems, and improve it
  • To detect, investigate, and prevent fraud, chargeback abuse, ticket duplication, and other misuse
  • To keep the records we need for accounting, tax, and legal purposes, and to comply with the law

8. Who we share information with

8.1 Event promoters

When you buy a ticket for, or enter, an event, we give that event's promoter the information they need to run it and admit you — typically your name, email address, phone number, what you bought, and any entry details you provided. The promoter is then independently responsible for that information. Our Terms of Service (Section 13.9) require promoters to use it only for their event and their own lawful communications, to comply with email and privacy law, to honor your opt-out requests, and not to sell it or pass it on. If you want a promoter to delete information they hold about you, you will need to ask that promoter; we can tell you who to contact.

8.2 Service providers

We use a small number of providers to run the platform: Square for payment processing, Amazon Web Services for file storage and hosting, MailerSend for sending email, and the analytics, anti-bot, and content-delivery providers named in Section 5. They receive only what they need to perform their function.

8.3 Legal and safety

We may disclose information where we are required to by law or valid legal process, or where we reasonably believe it is necessary to investigate fraud, enforce our Terms, or protect the rights, property, or safety of Traxsyd, our users, or the public.

8.4 Business transfers

If Traxsyd is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We will require the recipient to honor this policy or give you notice and a choice.

9. Selling, sharing, and targeted advertising

We do not sell your personal information for money, and we never have.

We should be straightforward about one thing, though. The Meta advertising pixel and the analytics tools described in Section 5 send information about your visit to those companies, and several U.S. state privacy laws define "selling" or "sharing for targeted advertising" broadly enough to include exactly that — even when no money changes hands. We would rather tell you that than rely on a narrow reading of the word "sell."

If you do not want that to happen, you can:

  • Block third-party cookies in your browser, or use a browser or extension that blocks trackers
  • Turn on Global Privacy Control if your browser or extension offers it
  • Use the opt-out controls Google and Meta provide for their own advertising systems
  • Email us at support@traxsyd.com and ask us to opt you out. We will apply it to your account so far as our systems allow, and we will tell you plainly if there is any part we cannot switch off

10. Marketing messages and how to stop them

We send two kinds of email. Service messages — order confirmations, ticket delivery, password resets, account and security notices, notices about our Terms or this policy, and notices about an event you hold a ticket or entry for — are part of the Service, and you cannot opt out of them while you hold an active account, ticket, or entry.

Marketing messages — event announcements, newsletters, new-feature announcements, and promotional offers — are optional. Every marketing email we send includes an unsubscribe link, and unsubscribing takes effect for all future marketing email. You can also email support@traxsyd.com and ask us to stop. Opting out of marketing does not stop service messages.

We do not send marketing text messages. If we ever do, we will ask for your consent separately first.

11. Children

Accounts on Traxsyd are for adults. Under our Terms of Service you must be at least 18 to create an account, buy a ticket, or register an entry, and the Service is not directed to children. We do not knowingly collect personal information from anyone under 13. If you believe a child has given us personal information, email support@traxsyd.com and we will delete it.

Minors may attend events on a ticket bought by an adult. Where a minor takes part in an event, the promoter handles any consents and waivers required — we do not collect them.

12. How long we keep information

  • Account and profile information — while your account is open, and for a reasonable period afterward for records, disputes, and fraud prevention.
  • Order, payment, refund, and payout records — for at least 7 years, because we need them for accounting, tax, and chargeback purposes. We cannot delete these on request while that obligation lasts.
  • Content you posted publicly — until you or the person it concerns removes it, or we do. Copies already shared elsewhere are outside our control.
  • Support messages3 years.
  • Analytics and usage data — as retained by the tools in Section 5 under their own retention settings, and in aggregate form indefinitely.

Where we no longer need information we delete it or reduce it to a form that no longer identifies you.

13. Security

We take reasonable measures to protect your information, including:

  • Encrypted connections (HTTPS/TLS) for everything you send us
  • Card payments handled by Square, so full card numbers never reach our systems
  • Passwords stored only as cryptographic hashes
  • Access to personal information limited to people who need it to do their job
  • Regular backups

No system is perfectly secure, and we cannot guarantee absolute security. If you believe your account has been compromised, email support@traxsyd.com immediately.

14. Your choices and how to make a request

You can ask us to:

  • Give you a copy of the personal information we hold about you
  • Correct information that is wrong or out of date
  • Delete your information and close your account
  • Send you a portable copy of the information you gave us, in a common machine-readable format
  • Stop marketing email, or opt you out of the advertising and analytics tools described in Section 5, so far as our systems allow — see Section 9

How to ask. Email support@traxsyd.com from the address on your account, or use the form at traxsyd.com/contact, and tell us which of the above you want. If we cannot tell that the request is really coming from you, we may ask you to confirm your identity before we act — that protects you, not us.

How long we take. We will acknowledge your request within 10 business days and complete it within 30 days. If it is going to take longer we will tell you why and give you a new date.

What we may not be able to delete. Some information has to stay: order, payment, refund, and payout records we are required to keep for accounting and tax purposes; records we need to prevent fraud or resolve a dispute; information a promoter separately holds, which you will need to ask that promoter about; and content that other people have already copied or shared. We will tell you what we kept and why.

Making a request costs nothing, and we will not treat you differently for making one. You can also change most of your information yourself in your account settings.

15. If you are outside the United States

Traxsyd operates in the United States, and information you give us is stored and processed there. Laws in your country may give you rights we have not described here, and privacy protection in the United States may differ from the protection you are used to. If you contact us with a request based on the law where you live, we will do our best to help.

16. Links to other sites

Our site links to promoter websites, venue sites, sponsor sites, and social media. We do not control them and are not responsible for their privacy practices. Please read their policies before giving them information.

17. Changes to this policy

We may update this policy. When we do, we will post the new version here and update the "Last updated" date above. If a change is significant, we will also tell you by email to the address on your account or by a notice on the site at least 30 days before it takes effect, matching the notice period in our Terms of Service. Please look at this page from time to time.
